It ensures that all concerns are managed fairly, consistently, and in the best interests of our members and the club.<\/p>\n\n\n\n<p><strong>Code of Conduct<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>I will always exhibit good sportsmanship and encourage others to do the same.<\/li>\n\n\n\n<li>I will always conduct myself in a manner that promotes the health, safety, and well-being of others.<\/li>\n\n\n\n<li>I will always use language and actions that are positive, encouraging, and supportive.<\/li>\n\n\n\n<li>I will exhibit fairness and honesty in all dealings with others.<\/li>\n\n\n\n<li>I will be a positive role model for others learning the game.<\/li>\n\n\n\n<li>I will take an active role as an ambassador for Pickleball Brantford in promoting the game as a fun activity for all.<\/li>\n<\/ul>\n\n\n\n<p><strong>Examples of Misconduct<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Unsporting behavior (e.g., swearing, aggression)<\/li>\n\n\n\n<li>Breach of safety practices<\/li>\n\n\n\n<li>Disrespect to members, facilitators and volunteers<\/li>\n\n\n\n<li>Harassment, bullying, or discrimination<\/li>\n\n\n\n<li>Serious damage to the club\u2019s reputation<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Breach Policy Principles<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Fairness \u2013 everyone has the right to be heard.<\/li>\n\n\n\n<li>Transparency \u2013 the process is clear and consistent.<\/li>\n\n\n\n<li>Confidentiality \u2013 matters are handled discreetly.<\/li>\n\n\n\n<li>Proportionality \u2013 sanctions match the seriousness of the issue.<\/li>\n\n\n\n<li>Right of Appeal \u2013 members can appeal decisions.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Process<\/h2>\n\n\n\n<p>1. Report<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u2022 Concerns are raised with a board member.<br>\u2022 Minor issues may be resolved informally (e.g., quiet word, mediation).<\/li>\n<\/ul>\n\n\n\n<p>2. Review<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u2022 The Chairperson of the board considers the matter.<br>\u2022 If serious, it proceeds to a formal process.<\/li>\n<\/ul>\n\n\n\n<p>3. Investigation<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u2022 Information is gathered (statements from those involved and witnesses).<br>\u2022 The member is informed of the concern and given a chance to respond.<\/li>\n<\/ul>\n\n\n\n<p>4. Hearing<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u2022 A small panel of 3 committee members (not directly involved) meets.<br>\u2022 The member is invited to attend and may bring a supporter.<br>\u2022 Both sides are heard before a decision is made.<\/li>\n<\/ul>\n\n\n\n<p>5. Outcome<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>For first-time minor infractions, a verbal warning will be issued to the offending member, stating the concern and reminding them of their obligations as a member. All verbal warnings will be recorded in the member\u2019s file. (First Level Warning)<\/li>\n\n\n\n<li>For a second minor infraction or matters requiring additional attention, a Letter of Intention outlining the incident and the club\u2019s expectations will be issued. (Second Level Warning)<\/li>\n\n\n\n<li>For a third infraction or a serious violation, a Letter of Intention outlining the incident and a summons to a meeting (or video call) with the investigating committee will be issued. (Third Level Warning)<\/li>\n\n\n\n<li>At any time after a Second Level Warning, the committee may determine that a suspension is warranted.<\/li>\n\n\n\n<li>At any time after a Third Level Warning, the committee may consider suspension or termination of membership without refund, per Pickleball Brantford Club constitution section 2.2 and 5.6.<\/li>\n<\/ul>\n\n\n\n<p>6. Appeal<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u2022 A written appeal must be submitted within 7 days.<br>\u2022 A separate committee panel will review.<br>\u2022 The board has the right to make the final decision from the appeal process.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Record Keeping<\/h2>\n\n\n\n<p>\u2022 The Secretary records complaints, actions, and decisions.<br>\u2022 Records are kept securely and reviewed annually by the committee.<\/p>\n\n\n\n<p>&nbsp;This policy applies to all members and volunteers.
